Who we are and how to contact us
Mate Lab AI is a registered business name held by F Mora Castro & J.M Suarez, a partnership (ABN 38 122 840 362). We’re an AI automation consultancy based in Sydney, Australia. In this policy, “Mate Lab AI”, “we”, “us” and “our” mean that partnership.
For any privacy question, request or complaint, email us at info@matelabai.com.au.
What information we collect
What we collect depends on how you deal with us.
- Enquiry form(our Contact page): your name, work email, phone number, company name and job title, what you’re interested in and a description of what you’d like help with. You can also choose to give us your company website, industry, company size, location, timeline and how you’d like us to contact you.
- Get in touch form: your name, email, phone number, which best describes you (for example, business owner or freelancer) and any message you add.
- Booking a call: your name, email, the time you choose and anything you add to the booking.
- Masterclass guide: your email address and whether you asked to receive updates from us, with the date you asked and the wording you agreed to.
- Emails, calls and projects: what you tell us when you contact us or work with us, such as information about your business and contact details for people in your team.
- Website visits: technical information such as the pages you visit, the site that referred you, your browser, operating system and device type, your approximate location (country) and your IP address. See section 7.
We don’t need sensitive information, such as health information, to respond to an enquiry, so please don’t include it in forms or messages. Where it’s practical, you can deal with us without identifying yourself — for example, when you browse our website — but we need your contact details to reply to an enquiry.
How we collect it
We collect most personal information directly from you: when you fill in a form, book a call, email or message us, attend an event or work with us.
Our enquiry form has two steps. If you complete the first step and then leave the page before finishing, the details from the first step are still sent to us, so we can follow up on your enquiry.
Some information is collected automatically when you use our website (see section 7). When an organisation engages us, it may also give us contact details for people in its team.
How we use it
We use personal information to:
- reply to your enquiry and arrange calls with you
- understand what you need and prepare proposals and quotes
- deliver, support and invoice our services
- send you things you’ve asked for, such as the masterclass guide
- send you occasional updates and practical AI tips, but only if you’ve asked for them — you can unsubscribe at any time
- keep our website and forms working and secure, including preventing spam and abuse
- understand how our website is used, so we can improve it
- meet our legal, tax and accounting obligations.
We don’t sell personal information.
Information clients share with us
We use client-provided information only as needed to deliver the agreed services, follow the client’s instructions and meet our legal obligations. We ask clients to ensure they are authorised to provide the information and to avoid sharing unnecessary personal or sensitive information.
Where a project requires it, the parties should agree separately on appropriate security, access, retention, deletion and confidentiality arrangements.
We use AI and automation tools to deliver our services, including AI models from providers such as Anthropic (Claude) and OpenAI, and the workflow platform n8n. When client information passes through these tools, we use only what the task needs, and we use business or developer (API) accounts rather than personal consumer accounts. Under those providers’ terms, information sent through their APIs isn’t used to train their models by default. If a project involves confidential or sensitive information, we agree with the client beforehand which tools can be used.
Disclosure and overseas handling
We may disclose information to service providers that help us operate our business or deliver services—for example, website hosting, email, analytics, cloud storage or project tools. We require service providers to handle information appropriately.
Some providers may store or process information outside Australia. The countries involved may depend on the services in use. Our main providers are:
Stores our CRM, where enquiries from our website are kept.
Hosts our website and CRM application, and provides our website analytics.
Business email, call bookings (Google Calendar), our Get in touch form (Google Forms) and file sharing (Google Drive).
Sends emails from our website and automations, such as the masterclass guide.
Runs our automations, such as sending the masterclass guide and recording sign-ups.
Alerts our team if an enquiry can't reach our CRM, so it isn't lost.
AI models we use to deliver our services.
If you’d like more detail about where a provider handles your information, contact us.
We may also disclose information where required or authorised by law, or where necessary to protect our rights, people or systems.
Security and retention
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. For example, access to our CRM is limited to authorised members of our team. No online transmission or storage system can be guaranteed completely secure.
We keep information only for as long as reasonably needed for the purposes described in this policy, our business needs and legal obligations. When no longer needed, we take reasonable steps to delete or de-identify it. If you asked to receive updates from us, we keep your email address for that purpose until you unsubscribe.
Access, correction and privacy complaints
If you want to access or correct personal information we hold about you, or make a privacy complaint, contact us using the details above. We will respond within a reasonable time.
If you are dissatisfied with our response and the Privacy Act 1988 applies to us, you may be able to complain to the Office of the Australian Information Commissioner (OAIC).
Changes to this policy
We may update this policy when our practices change. The current version will be published on our website with its updated date.
